Applying Data Access Policies

What is a Data Access Policy (DAP)?

By assigning Data Access Policies to users in your Starred account, you can restrict them to be able to view specific responses. DAPs only apply to the Beta Dashboard.
For example, you can restrict recruiters to only view the responses linked to their own candidates. They won't be able to see responses from candidates linked to other recruiters. The dashboard will automatically show only responses that are relevant to this specific user.

Default Data Access Policy

By default, all users in Starred are added to the default DAP. When inviting a new user to your Starred account, this user will also be automatically added to the Default DAP, which allows users to view the overall ratings only.

Dashboard Access

  • When a user is part of the Default DAP and does not have the access right 'Can view all groups' (see access rights), this user only has access to the overall results. The user won't be able to filter responses.
  • When a user is part of a specific DAP without having the access right 'Can view all groups' (see access rights), this user can filter responses within the specific DAP.
  • When a user is part of the Default DAP or another DAP and has access to 'Can view all groups' (see access rights), this user can filter on all responses

Applying a Data Access Policy

Go to your settings and click on Data Access Policies. Click on 'Create new data access policy'.

Create Filters

You can add filters to restrict only to show responses that are related to this filter.
Next, click on 'Add Filter' to select a filter (e.g. Recruiter) . All the custom fields you have added to your surveys will be shown in the dropdown menu. When you click on a custom field, all the known values related to this field will be shown. You can select one or more values and then click 'Next'.

Selecting users

You can apply Data Access Policy to one or more users. For example, if in the previous step you've chosen the filter 'Recruiter' and from the known values you've selected 'James', you can now select the user James and add him to the DAP. Now James only has access to the responses from the candidates he is linked to.

Save data access policy

Give your Data Access Policy a name (e.g. Recruiter James) and click on 'Save data access policy'

Once James is added to the Data Access Policy 'Recruiter James', this Data Access Policy and the filters that relate to it (Recruiter is James), will show in the left navigation bar when James consults the Starred dashboard. All responses visible for James are only related to the candidates he is linked to.

Applying multiple Data Access Policies to the same user

You can add more than one data access policy to the same user. The user will then have access to both. For example: A user (James) is added to the policy "Recruiter = James" and also to the "Department = Marketing". Now James will have access to responses related to his own candidates and to all responses related to the Marketing Department.
