Customizing your invitation email
Creating a good invitation text for your email invite is key to making sure your contacts will click through and fill in your survey,
Please note: Follow this guide to customize your invitation emails, whether you're uploading your contacts manually, via a .csv or when you're automating your surveys through an integration.
To access the invitation email composer, follow these steps:
- From your Survey overview, select a survey
- From the dropdown menu on the right-hand side, click on Invite new respondents.
Editing a template
When opening the invitation composer, a default example template is shown, which you are free to use or edit to your liking.
- If you choose to edit the template, remember to save it by clicking on the floppy disk icon at the top of the page
- To create a whole new template, click on the dropdown menu and select Create new template. A window will pop up where you can give your template a name and select the language of the template.

In this article, we'll touch on some other "practical" aspects.
Embedding a survey question in your invitation email
We recommend adding one of your survey questions to your invitation. This will ensure that the question will appear in the invitation email, providing a sneak peek into the survey.
You can select the question you'd like to embed from the drop down menu right underneath your text.
💡 Please note:
- Clicking on a rating from the embedded question will redirect your respondent to the rest of the survey
- We recommend choosing the NPS question: Starred offers a feature called "NPS auto-capture", which means that even when the respondent leaves the page after clicking on an NPS score in the invitation and being redirected to the survey, Starred still captures the NPS score for you! - You can choose to add translated versions of your invitation emails to make sure your respondents always get the email (and the survey!) in their preferred language. This will also contribute to a higher response rate. To translate your invitation emails, follow this guide.
Personalizing the invitation email
Just like in your surveys, you can also use custom fields to customize the invitation email so that it feels more personal to your respondent.
To do this, you can simply add a @ followed by the custom field you want to add.
💡We recommend to use fields like the job name, the office/city and maybe the recruiter/hiring manager name.
Please note:
- The spelling used should match the custom field name exactly. You can look into your custom fields settings to find out what it is, or search in the filter bar in a dashboard.
