Setting up colleague profiles

Control who has admin rights and what others users can do

In your Colleagues section, you can:

  • grant or restrict your colleagues' access rights within your Starred account
  • assign a role to a user (*only for Candidate Experience)
  • delete a user

By default, colleagues are added as users without access rights. You can manage their access rights by clicking on Edit behind your colleague's name.

Access rights

You can adjust user access rights by either assigning them to a role, which has the rights already defined (see here), or adjusting their individual profile.

To grant or take away access rights, find the user and click Edit next to their name.

Here's an overview of the available access rights:

SETTINGS

  • Can edit company details: This option allows users to edit company details, styles, invitations, etc.
  • Can edit Colleagues: This option allows users to add other users to the platform and edit the access rights of other users.
  • Can access API page: This option allows users to view the APIcredentials and set webhooks.
  • Can access Privacy page: Allows a user to access the Privacy page in the settings.
  • Can view Audit Logs: Allows a user to access the Audit Logs page in the settings. Audit Logs are a record of your company's users' activities (user log-ins, dashboard views, surveys sent).
  • Can delete Response: Allows a user to delete individual responses.

SURVEYS

  • Can create and edit surveys: This option allows users to create and edit surveys.
  • Can view surveys: Allows a user to access the Survey overview. Having this access without the previous one won't allow a user to edit surveys.

INVITATIONS

  • Can send invitations: This option allows users to send out survey invitations.
  • Can create and edit sender addresses: This option allows users to create alias email addresses to use as senders for your invitations.

INTEGRATIONS

  • Can access Integrations: Allows a user to access the Integrations page where they can manage, edit or delete workflows.

DATA

  • Can view survey dashboards: This permission allows users to view dashboards specific to each survey. Without this permission, they won't see the button "survey dashboards" in the navigation bar.
  • Can filter dashboards: This option allows users to filter dashboard's results.
  • Can see individual responses: This option allows users to see individual responses.
  • Can create and edit data access policies: This option allows a user to create and edit Data Access Policies.
  • Can view comments: Allow a user to view comments left by your respondents to your survey questions. When this permission is not flagged, users won't see comments in any of the dashboards.
  • Can manage custom fields: This permission gives users access to the Custom Fields section of your settings. Here, users can delete and manage custom fields and values within these fields.

Granting Journey Type Access

By default every user has access to all surveys. You can choose to limit access for certain roles or users per journey type.

Bespoke Dashboards

If you have any Bespoke Dashboards in your account, here's where you can assign them to a specific user.

Firefight emails

Firefight emails are email notifications that users can receive in their inbox whenever a respondent gives a low NPS score. By default, we send firefight emails to the sender of the invitations. However, Administrators can overwrite this default and determine which user(s) should receive firefight emails by choosing Yes or No in this sections of the user profile:

If you select 'yes', the firefight emails are automatically sent to this user instead of the sender of the invitation emails.

Please note: Assigning firefight emails to a Starred user applies to all surveys. It's currently not possible to assign a different user per survey.

Candidate Experience Digest

Here you can choose if a user should receive a monthly update with company data about journey types and other information

Delete colleague

The last section is where you can delete your colleague's user profile.

By clicking on the orange button you'll be asked to confirm your choice by typing in the colleague's email address.

💡Please note:

  • This action can not be undone. If the user will need to use Starred in the future, you'll need to re-invite them.
  • Deleting a colleague does not delete any surveys or responses connected to the user
  • When you delete a colleague, if the user was receiving scheduled reports with dashboard insights and results, you will need to manually also delete the scheduled report, otherwise the user will keep receiving the insights in their inbox. Check out our dedicated article on scheduled reports to learn more about this feature.
